How Assure maps to the duties
What Zaviira Assure records for each duty, and whether it is built, tested and live.
Zaviira Assure helps a landlord record and evidence its work against the duties below. It does not decide whether a landlord has met its legal duties, and it does not make anyone compliant. Each row says whether the feature is built, tested and live.
| Legal duty or expectation | Reference | What Assure records or calculates | Status |
|---|---|---|---|
| Becoming aware of an issue of concern | Regulations 5 and 6 | Every tenant report is time-stamped when it arrives and held with its description, photos and location. A case is created at that moment, so the clock is counted from the report time. A report by email from an address that matches no location has no case until it is dispatched, but its dates are still counted from the time it arrived. | Live |
| Deciding whether a hazard is emergency or significant | Regulation 3 | A named person records the severity decision. AI assisted triage that estimates severity at report time, with a person confirming, is being built. | In development |
| Calculating statutory deadlines | Regulations 5, 6 and 11 | For damp and mould, calculates the investigation (10 working days), written summary (3), safety work (5) and permanent repair start (5 working days, with a 12 week limit) from the live GOV.UK bank holiday list, and the 24 hours for an emergency hazard of any type except crowding and space. A deadline is checked each time a case is opened. Other hazard types are not calculated yet. The longer period when a tenant asks for a physical inspection, renewed and further investigations, and an emergency clock that starts from an investigation are not modelled. | Live |
| Written summary to the tenant | Regulations 9 and 10 | Calculates the due date from the day the investigation is completed, and Management marks the summary as given, with how it was given, who recorded it and when. An overdue flag shows on the case and the dashboard. Assure treats a summary as always due. It does not apply the exception where required work is completed within the 3 working days. | Live |
| Relevant safety work | Regulations 5 and 11 | Records the survey, assignment of a contractor, job progress and completion against the case, for damp and mould. | Live |
| Supplementary preventative work | Regulation 13 | Calculates the date to begin work or take steps (5 working days) and the 12 week limit, both from the day the investigation was completed. Management records steps taken and the date work begins. The Regulations set no fixed date for completing the work, so Assure does not calculate one. | Live |
| Checking the repair worked | Good practice | A re-survey by the surveyor, not the contractor, is required before a case closes. | Live |
| Assigning and managing contractors | Regulations 5 and 11 | Offers go to contractors; an offer that goes unanswered passes to the next contractor. A scorecard records completion, credentials, response time and re-survey pass rate. | Live |
| Evidence of what happened and when | Reasonable endeavours defence | A location evidence pack with a verification hash that shows whether the data has changed since it was generated. | Live |
| A record that cannot be rewritten | Good practice | An append-only audit log, with database triggers that block edits and deletions of individual entries. | Live |
| Keeping the tenant updated | Regulation 14 | Tenant updates are not tracked yet. | Not yet built |
| Temporary rehousing and safety advice | Regulations 15 to 17 | Safety advice given and temporary accommodation offered or arranged are recorded against the case, each with the time and who recorded it. Assure records these. It does not calculate the initial remediation period or a deadline for them. | In development |
